Permanent 35 hours pw (8am-3.30pm with half an hour for lunch)

Salary Grade 5: Scale Points 12-15

 

Post currently term time plus 5 weeks (44 weeks) but would consider full time (52 weeks)

All holidays to be taken during school holidays

Finance Assistant required as soon as possible to join our busy team of two.  You will need to be tactful, personable and able to work on own initiative as well as part of the team. You will need experience of liasing with people at all levels externally and internally.

JOB PURPOSE

  • Frontline of the Finance Department including phone queries from parents, staff members and suppliers.
  • Initiating and processing orders and payments.
  • Dealing with queries regarding orders and payments.
  • Uploading ParentPay items and dealing with parent and staff queries relating to ParentPay.
  • Processing Support Staff Overtime Claims

MAIN DUTIES AND RESPONSIBILITIES

  • Frontline of the Finance Dept:
  • Responsible for finance emails’ inbox, answering phone calls and helping visitors’ with general finance queries including ParentPay, orders, invoices, support staff overtime claims and bursary payments. Forwarding, where necessary, to the Finance Manager or Bursar.
  • Processing orders, invoices, bursaries, BACS & cheque payments:Uploading ParentPay items:
  • Liaising with staff regarding details of ParentPay items to be uploaded.
  • Uploading items and assigning payers.Sending communications including activation codes.Issuing payment lists to staff when requested.
  • Journalling Focus First, Bursary grants and income reports in FMS.
  • Chasing late payers.
  • Processing Support Staff Overtime Claims:
  • Checking timesheets’ calculations and authorisation.
  • Creating payment schedule to be authorised by Bursar and emailed to Payroll within deadline.
  • Keep filing and archived finance documents in order using the school document retention policy as a guide and following General Data Protection Regulations (GDPR).
  • Assisting the Finance Manager and bursar with other occasional work.
  • To undertake training and participate in appropriate support staff meetings.
  • Participate in the performance management process in the school.

Good general standard of education to Level 3 - A Level or
